Privacy Policy
This Privacy Policy describes how NOVAPRO MULTI-SERVICES LLC collects, uses, discloses, retains, and protects personal information in connection with our website and professional services. Please read it together with our Cookie Policy, which explains cookies and similar technologies separately.

NOVAPRO MULTI-SERVICES LLC
Scope and Purpose
NOVAPRO MULTI-SERVICES LLC (“Novapro,” “we,” “us,” or “our”) operates novaproms.com and related online pages (the “Website”). We provide bilingual professional services that may include individual and business tax preparation, ITIN assistance, bookkeeping, document preparation, Florida notary services, and translation and interpretation (collectively, “Services”).
This Privacy Policy applies to personal information we collect through the Website, contact and appointment forms, email and telephone communications related to our business, document submissions when we provide a secure method for your engagement, and information you provide when inquiring about or receiving Services.
This Policy does not apply to third-party websites or services that we do not control, including external brand sites such as Nova Creative Studio on Etsy and Nova Creative Art. Those sites are governed by their own privacy policies.
Once you become a client, specific engagements are also governed by written service agreements, disclosures, and authorizations. If there is a conflict between this Policy and a signed client agreement regarding a particular engagement, the client agreement controls for that engagement.
Definitions
For clarity in this Policy:

- “Sensitive Personal Information” includes identifiers such as Social Security numbers, taxpayer identification numbers, financial account details, and government identification numbers when applicable to the Services you request.
- “Services” means professional services offered by Novapro as described on the Website and in client agreements.
- “Website” means novaproms.com and pages we operate under that domain.
- “Service Provider” means a vendor that processes personal information on our behalf under contract and subject to our instructions.
- “Client” means a person or entity that has engaged Novapro for Services under a service agreement or authorized engagement.
- “Visitor” means a person who browses the Website or contacts us without yet becoming a Client.
Information We Collect
We collect personal information that is reasonably necessary for the purposes described in this Policy. The categories below may not all apply to every Visitor or Client, and collection depends on the service requested, how you interact with us, and what you voluntarily provide.
- A. Identification and contact information — such as name, postal address, email address, telephone number, preferred language, and date of birth when relevant to a requested service.
- B. Taxpayer and tax-return information — such as Social Security numbers, prior-year returns, income documents, withholding forms, and other tax materials you supply for individual or business tax preparation.
- C. ITIN and identity-verification information — such as passport copies, birth certificates, residency documentation, and Form W-7 materials when you request ITIN assistance.
- D. Financial and bookkeeping information — such as bank statements, receipts, invoices, and ledger details when you voluntarily provide them for bookkeeping or related administrative support.
- E. Business and entity information — such as business names, ownership details, employer identification numbers, and organizational records when you request business tax or bookkeeping services.
- F. Documents and files — forms, contracts, immigration-related documents submitted for clerical preparation or translation, notarial documents, and other files you upload or deliver.
- G. Appointment and service-request information — service type, scheduling preferences, intake responses, and status notes.
- H. Communications — content of emails, messages, and call notes needed to respond and maintain records.
- I. Transaction and payment-related information — amounts billed, payment status, and limited payment details processed through third-party payment processors when you pay for Services. We do not necessarily receive or store full payment-card numbers.
- J. Website, device, and usage information — IP address, browser type, device characteristics, pages viewed, referring URLs, and server logs.
- K. Cookie and preference information — language preference cookies, cookie-consent choices, and similar data described in our Cookie Policy.
- L. Information about other individuals — such as spouse, dependent, employee, contractor, business owner, or authorized representative information that you supply. You are responsible for having appropriate authority to provide another person’s information.
Sources of Information
We may collect personal information from the following sources, as applicable:
- Directly from you through forms, email, telephone calls, appointments, and document submissions.
- From authorized representatives you designate, such as a spouse, business owner, or agent where appropriate for the service.
- From government forms and records that you provide to us for preparation, translation, or filing assistance.
- Automatically through the Website via cookies, logs, and similar technologies, subject to your choices where required.
- From service providers that support our operations, such as hosting or scheduling tools, only as permitted by our agreements.
How We Use Information
We use personal information for specific business and service purposes, including:
- Responding to inquiries and evaluating whether we can accept a service request.
- Establishing and managing client relationships and performing Services you authorize.
- Scheduling, confirming, and reminding you of appointments.
- Preparing individual or business tax returns, assisting with ITIN documentation, providing bookkeeping, preparing administrative documents, and performing notary, translation, or interpretation services.
- Verifying identity where appropriate to the service and applicable law.
- Communicating about Services, documents needed, invoices, and administrative updates.
- Processing payments through authorized third-party payment processors.
- Maintaining records required for professional, tax, and business purposes.
- Securing our systems, preventing fraud, and addressing misuse.
- Complying with legal, regulatory, and professional obligations and responding to lawful governmental requests.
- Improving the Website and our operational workflows.
- Enforcing agreements and resolving disputes.
Tax Return and Taxpayer Information
Tax-related information is highly sensitive. We use federal and state tax information only to perform Services you authorize, maintain required records, and comply with applicable law.
Access to tax materials is limited to personnel and service providers who need the information for their role. We do not use tax return information for unrelated marketing.
Federal tax return information may be subject to restrictions under the Internal Revenue Code and IRS guidance regarding disclosure and use. When you authorize electronic filing, transmission occurs through approved channels and authorized preparers following applicable IRS rules.
We may retain tax workpapers and returns as required or permitted by professional standards and tax law. We may disclose tax information to the IRS or state tax agencies when you authorize filing, when necessary to complete a requested service, or when legally required.
Novapro is not a law firm. Tax services do not create attorney-client privilege. Unless a specific engagement involves a licensed CPA providing attest services—which is outside standard tax preparation scope—CPA audit privilege does not apply to typical return preparation.
ITIN and Identity Documents
ITIN application and renewal assistance may require identity documents such as passports, birth records, or other supporting materials under IRS rules. We collect these documents only when you choose to engage ITIN Services and supply them for that purpose.
Identity documents receive heightened handling appropriate to their sensitivity, including restricted access and retention aligned with service and legal requirements.
The IRS independently reviews applications and makes all issuance or renewal decisions. We do not guarantee approval or processing times.
Information About Other People
Tax, bookkeeping, document, and related Services often require information about spouses, dependents, employees, contractors, business owners, beneficiaries, or authorized representatives.
When you provide another person’s information, you represent that you have authority to do so and that the information is accurate to the best of your knowledge. We process such information solely to perform Services you request concerning that individual or entity as permitted by your engagement.
Collecting dependent information for a tax return prepared at a parent’s or guardian’s direction is not the same as marketing Services directly to children, as explained in Children’s Privacy below.
Legal and Operational Grounds for Processing
We process personal information based on one or more of the following, as applicable: performing Services or taking steps at your request before entering an engagement; your consent where required (for example, certain cookies or optional communications); compliance with legal and regulatory obligations; legitimate operational interests such as securing the Website and maintaining business records, where not overridden by your privacy rights; and protection of rights, safety, and fraud prevention.
We do not rely on European GDPR legal-basis terminology unless we are subject to that law for a particular processing activity. Our primary operations are U.S.-based.
How Information May Be Disclosed
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. If we send optional marketing communications beyond service-related messages, we will do so in accordance with applicable law and provide appropriate opt-out mechanisms.
We may disclose personal information as follows, depending on circumstances:
- To employees and personnel who need access to perform their duties.
- To contractors and Service Providers that host systems, deliver email, support scheduling, store documents, provide analytics when consented, or assist with payment processing, under contracts that limit use and require appropriate safeguards.
- To professional advisers such as accountants or insurers when reasonably necessary.
- To the IRS, state tax agencies, or other government authorities when you authorize a filing or transmission, or when disclosure is legally required.
- To courts, regulators, or law enforcement when required by lawful process.
- To successor entities in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to continued protection of personal information as described in Business Transfers.
- To other parties when you direct us or provide consent for a specific disclosure.
Payment Information
If you pay for Services electronically, payment details are typically collected and processed by third-party payment processors rather than stored in full on our systems. Processors maintain their own privacy and security practices.
We may receive confirmation of payment, partial card or account identifiers, billing contact information, and transaction amounts needed for accounting and client records.
We do not name specific payment vendors in this Policy because processors may change. Your payment receipt or invoice will identify the processor used for that transaction where applicable.
Analytics and Third-Party Technologies
Our Website may use web analytics tools to understand aggregated traffic and improve content. Analytics may be configured through environment settings; when Google Analytics or a comparable service is enabled and you consent where required, that provider may receive device and usage information according to its policy.
Based on our current website implementation, we use a cookie-consent banner, essential cookies, and optional analytics cookies—not advertising pixels, social media tracking pixels, reCAPTCHA, live chat widgets, or native mobile application SDKs. If we add embedded technologies in the future, we will update this Policy and our Cookie Policy.
Hosting, email, and scheduling-related providers used to operate the business may process contact information and technical logs as part of their services.
Data Retention
We retain personal information for varying periods depending on the type of record, the Service performed, legal and tax obligations, professional standards, contractual requirements, operational needs, dispute resolution, fraud prevention, and backup cycles.
Tax and ITIN records may be retained for extended periods required or permitted under federal and state rules. Notary journals and bookkeeping records may be retained as required by applicable law and engagement terms. Website logs and cookie-consent records may be retained for shorter operational periods.
When information is no longer needed, we take reasonable steps to delete, destroy, or de-identify it, subject to legal holds, pending disputes, and technical limitations of backup systems that may retain residual copies for a limited time before overwrite.
We do not promise immediate deletion of all data upon request when retention is required by law or necessary to complete an authorized service or defend legal claims.
Data Security
We maintain administrative, technical, and organizational safeguards designed to protect personal information. Measures may include access controls, authentication for systems, staff training, vendor oversight, secure transmission methods where implemented for sensitive exchanges, and physical and electronic controls for documents.
IRS Publication 4557 and related guidance emphasize safeguarding taxpayer data. We align our practices with reasonable professional standards for a tax and business services provider, scaled to our size and scope.
No method of transmission over the Internet or electronic storage is completely secure. You should use secure channels we provide for sensitive documents and protect credentials and devices on your side.
Data Breach and Incident Response
We evaluate suspected security incidents involving personal information and take steps to contain, investigate, and remediate issues consistent with our capabilities and applicable law.
If notification to individuals or regulators is required under applicable state or federal breach-notification laws, we will provide notice in accordance with those requirements. Notification timing and content depend on the nature of the incident and governing law.
Client Choices and Communication Preferences
You may request updates to contact information by emailing or calling us using the contact details below.
You may manage non-essential cookies through the cookie banner, Cookie Settings in the footer, or the controls in the Cookie and Tracking Preferences section of this Policy.
Even if you opt out of optional marketing messages, we may still send service-related, transactional, legal, or security communications necessary to perform Services or comply with law.
Privacy Rights
Depending on your state of residence and applicable U.S. law, you may have rights to know what personal information we collect, access certain information, correct inaccuracies, delete information, or opt out of specific processing. Rights vary by jurisdiction and are not universal.
We may decline requests where an exception applies, including when retention is required for tax records, notary records, pending litigation, fraud prevention, security, completion of an authorized service, or compliance with lawful government requests.
We do not discriminate against individuals for exercising applicable privacy rights.
How to Submit a Privacy Request
To submit an access, correction, deletion, or other privacy request, contact us at contact@novaproms.com or by mail at the address in Contact Information. Include enough detail for us to understand your request and verify your identity.
We may request additional information to confirm identity before fulfilling a request. Authorized agents may submit requests on behalf of consumers where permitted by law, with proof of authorization.
We respond within timeframes required by applicable law when a request is subject to that law. Some requests cannot be fulfilled when legal exceptions apply.
State-Specific Privacy Rights
Comprehensive state privacy laws such as the California Consumer Privacy Act, as amended by the CPRA, apply only when a business meets statutory thresholds and engages in covered activities. Novapro does not represent on this Website that every state comprehensive privacy law applies to our current operations.
If you reside in a state that provides specific privacy rights and those rights apply to our processing of your information, you may contact us to exercise them. We will evaluate each request under applicable law.
We do not sell personal information and do not share personal information for cross-context behavioral advertising as those terms are used under California law.
Do Not Track and Global Privacy Controls
Some browsers transmit “Do Not Track” signals. There is no uniform industry standard for responding to DNT signals, and our Website does not currently alter its practices solely in response to a DNT signal.
Where our cookie-consent mechanism recognizes legally required opt-out preference signals such as Global Privacy Control for applicable processing, we honor those signals as implemented in our consent tool. Details appear in our Cookie Policy.
Children's Privacy
The Website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Website for marketing purposes.
Professional Services may require information about minor dependents when a parent, guardian, taxpayer, or authorized client supplies that information for a tax return, ITIN-related process, or document service. That processing is tied to the adult client’s engagement, not to offering Services directly to the child.
If you believe we collected information from a child under 13 through the Website in error, contact us so we can take appropriate steps.
International Visitors and Data Transfers
Novapro is located in the United States. If you access the Website or submit information from outside the United States, you understand that your information may be processed and stored in the United States and subject to U.S. law, which may differ from the laws of your country.
We do not represent that we maintain Binding Corporate Rules, EU Standard Contractual Clauses, or similar international transfer frameworks unless we expressly adopt them in writing for a specific engagement.
Third-Party Websites and Services
The Website may contain links to third-party websites, including creative brand stores. Third parties control their own content and privacy practices. Novapro is not responsible for third-party policies, security, or data handling.
Your use of third-party sites is subject to their terms and policies.
Business Transfers
If Novapro is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred to a successor entity as part of that transaction, subject to confidentiality and continued use consistent with this Policy or notice of material changes.
Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our practices, Services, technology, or legal requirements. The Effective Date and Last Updated date at the top of this page indicate the current version.
Material changes will be posted on this page. We may provide additional notice where appropriate or required by law, but we do not promise individual notice in every circumstance.
